How Beyond Borders Sports Tours collects, uses and protects your personal data.

Beyond Borders Sports Tours ("we", "us") respects your privacy and is committed to protecting your personal data. This policy explains what we collect, why we use it, how long we keep it, and your rights over it. It is written to meet a PDPA (Personal Data Protection) baseline standard and applies regardless of where you are located.

What we collect

When you enquire about a tour, request a quote, ask a question, or download a sample brochure, we may collect:
  • Your name and contact details (email, and phone/WhatsApp if you provide it)
  • Your team, school or club name
  • Details of your enquiry — sport, destination, travel dates, group size, budget and any notes you share
  • Your consent to us collecting and using this information, recorded with a timestamp

Why we use it

We use your information to:
  • Respond to your enquiry and prepare a tailored tour or kit quote
  • Follow up with you about your enquiry, including follow-up marketing about relevant tours, fixtures and offerings
  • Send you a sample brochure where requested
  • Keep internal records for service delivery and improvement
We only process your data for these stated purposes and rely on your consent, given at the point of collection, as the lawful basis for doing so.

How long we retain it

We keep enquiry and quote data for as long as needed to respond to your enquiry and for a reasonable period afterwards so we can follow up or resume planning. In practice, this means up to 24 months from your last contact with us for enquiries that don't lead to a booking. If your enquiry becomes a confirmed tour or order, related records may be kept longer in line with our accounting and legal obligations. If you ask us to delete your data, we will remove it within a reasonable timeframe, except where we are legally required to retain it.

Sharing

We do not sell your data. We only share it with trusted service providers (for example accommodation, transport or kit suppliers) where necessary to deliver your tour, and only to the extent needed. All such parties are expected to handle your data with the same care.

Your rights — correction and deletion

You can ask us at any time to:
  • See what personal data we hold about you
  • Correct anything that is inaccurate or out of date
  • Ask us to delete your data, or withdraw your consent for us to use it
To exercise any of these rights, contact us via the Contact page or email us and we'll respond within a reasonable period. Withdrawing consent won't affect any processing that already happened before you withdrew.

Security

We take reasonable steps to protect your data against unauthorised access, loss or misuse, and we only retain it for as long as it serves the purposes set out above.
